Most Indian customers would rather send a message than fill a form. They see your reel, tap “Send message”, and type “price?” That one word is the start of a sale, and in most businesses it is also where the sale quietly dies. The reply comes three hours later, the customer has already bought elsewhere, and nobody ever follows up.
A WhatsApp sales funnel fixes this with a few simple habits and tools. Here is how we set one up for local clients, from bakeries to builders.
The four stages of a WhatsApp funnel
Every funnel has the same four stages. Bring people into a chat. Reply quickly with something useful. Follow up with the ones who did not buy. Bring buyers back for the next order.
You do not need fancy software to start. The free WhatsApp Business app covers the first version. The WhatsApp Business API, through an approved provider, becomes worth it once you have hundreds of chats a week or want to send broadcasts at scale.
Bring people into the chat
Every piece of marketing should end in a WhatsApp button. Put a click-to-chat link on your Instagram bio, Google Business Profile, website header and every product page. Run click-to-WhatsApp ads on Meta for your best offer, which tend to bring cheaper enquiries than ads sending people to a website.
Print a QR code that opens your chat on bills, delivery bags and shop posters. Offline customers become online contacts this way.
Answer in minutes, not hours
Speed matters more than anything else in the funnel. Set up a greeting message that confirms you got the message and tells people what to expect. Create quick replies for the five questions you answer every day, such as price list, delivery area, timings, location and payment.
Keep a WhatsApp Business catalogue with photos and prices, so you can send the right product in one tap instead of typing out details. Give one staff member the job of watching chats during business hours.
Label every lead
WhatsApp Business lets you tag chats with labels. Use them like a simple sales board, for example New enquiry, Price sent, Follow up, Ordered and Repeat customer.
At the end of each day, look at the “Price sent” label. These are people who were interested enough to ask and have not decided yet. They are your easiest sales.
Follow up without being annoying
One polite follow-up the next day closes a surprising number of sales. Something like “Hi, just checking if you had any question about the cake designs I sent yesterday. Happy to help with the order.” Then one more a few days later with something new, such as a photo of a recent order or a limited offer. After that, leave them alone.
Lead follow up done this way feels like good service, not pressure, which matters because a blocked number can hurt your account.
Turn buyers into repeat customers
After an order, send a thank-you message and a Google review link. Add the customer to a broadcast list for your offers, but only if they agreed to receive updates. Keep broadcasts to two or three a month with genuinely useful content, such as festival menus, new arrivals or a members-only offer.
Repeat customers are cheaper to win than new ones, and on WhatsApp they are one message away.
Track the numbers that matter
Each week, note how many chats came in, how many got a price, how many ordered and how many ordered again. These four numbers show exactly where the funnel leaks. If many chats get prices but few order, look at your pricing or follow-up. If few chats come in, look at your ads and buttons. A small example from a bakery
Picture a home bakery that posts cake reels on Instagram. Each reel ends with “WhatsApp us to order”. A greeting message replies instantly with the catalogue link and delivery areas. The owner labels each chat, sends prices within ten minutes during the day, and follows up the next morning with anyone who went quiet.
After delivery, the customer gets a thank-you note, a review link and an invitation to join a birthday reminder list. Next year, a message goes out two weeks before that birthday. That last step alone can bring back a large share of last year’s buyers, at almost no cost.
