Two restaurants sit on the same road. One has 4.4 stars from 1,200 reviews, the other 4.7 stars from 38. Most hungry people pick the first. Volume, recency and replies matter almost as much as the rating itself, which is why so many owners ask us how to get more Google reviews without doing anything shady.

The short answer is to ask more people, at the right moment, in the easiest possible way. The longer answer is below.

Ask at the happiest moment

The best time to ask is the moment the customer feels good about you. For a restaurant, that is when the plates are cleared and someone says the food was great. For a salon, it is when the client sees herself in the mirror. For a clinic, it is the follow-up visit when the patient feels better.

A request sent three days later by SMS gets ignored. A friendly line from the person who served them, said face to face, usually gets a yes.

Make it one tap

Every extra step loses reviewers. Get your direct review link from your Google Business Profile, then turn it into a QR code and print it on a small card for the counter, the bill folder, the delivery bag and the reception desk.

Add the same link to your WhatsApp order confirmation and invoice messages. Keep the request short. “Loved your order? A quick Google review helps a small business like ours a lot” plus the link is enough.

Train your staff to ask

Owners cannot be at the counter all day, so the people who meet customers have to do the asking. Teach them one simple line, and make it a habit at billing. Some businesses track reviews per staff member each month and give a small reward to whoever brings in the most genuine ones.

Mentioning the staff member’s name in the review, which many customers do on their own, also gives your team something to feel proud of.

Never buy or fake reviews

It is tempting to ask friends to post five stars or to pay an online service for a hundred reviews. Do not do it. Google filters and removes suspicious reviews, can put a warning on the listing, and can suspend it altogether. Offering discounts in exchange for reviews is also against Google’s policies.

Fake reviews also read as fake. Customers notice when thirty reviews arrive in two days, all one line long, from accounts with no photo.

How to reply to Google reviews

Reply to every review within 48 hours. Replies show future customers that someone is listening, and they give you a free chance to mention what you sell.

For a good review, thank the person by name, mention what they ordered or experienced, and invite them back. Vary the wording, because thirty identical “Thank you for your kind words” replies look automated.

For a negative review response, stay calm and stay short. Apologise once, without arguing about details in public. Say what you are changing. Offer a phone number or WhatsApp so the person can talk to a manager. If the problem is genuinely fixed, many customers update their rating on their own.

If a review is clearly fake or abusive, report it through the listing rather than fighting in the replies.

Keep the reviews coming every month

A burst of reviews in one month followed by silence looks odd and ranks worse than a steady flow. Set a monthly target that fits your footfall, such as 20 new reviews for a busy café or five for a specialist clinic, and check it the way you check sales.

When the flow drops, look at what changed. Usually the QR card has gone missing or a new staff member was never told to ask.

Use your reviews beyond Google

Good reviews are free marketing material. Turn the best ones into simple story graphics for Instagram, with the customer’s first name and their words. Print a few on a board near the billing counter. Add a short “what our customers say” section to your website.

Reviews also tell you what to fix. Read every three-star review carefully, because these customers liked you enough to stay polite and still found something wrong. If the same complaint appears three times, such as slow delivery or a confusing billing process, that is your next improvement, and the next round of reviews will show it.
